Quick BI Enterprise Standard and Quick BI Pro provide parameters that are used to make data works public and configure collaborative authorization at the organization level. Permission administrators can enable or disable authorization for all workspaces and specify default permissions on data works.
Scenarios
Scenario description | Expected effect |
You can configure the Data Works parameter on the Collaborative Authorization Configuration page to determine whether the Works to Be Made Public and Works Allowed to Be Authorized options can be displayed for the Allow parameter on the Workspace Members and Information tab of the Workspaces page. The settings are used to determine whether data works in the organization can be made public and shared and whether permissions on data works can be granted. Note Data works in a workspace include BI portal, dashboards, workbooks, self-service data retrieval, ad hoc analysis, data dashboard, and data filling. If you select Publicable and Authorizable, the functional permissions of the workspace include Works Publicable and Works available permissions.
When you create a workspace, you can configure the default permissions on data works in the workspace. You can configure the default permissions on data works, such as BI portals, dashboards, workbooks, downloads, ad hoc queries, datasets, and data sources. Note After you modify the settings of Default Authorization for Workspace Resources, the configurations take effect only on data works in newly created workspaces.

Entry point
Log on to the Quick BI console and follow the instructions in the following figure to grant the data permissions on the organization-level switch.
Configure permissions on data works
You can configure the Data Works parameter on the Collaborative Authorization Configuration page to specify whether the data works of all workspaces in the organization can be made public or shared and whether permissions on the data works can be granted.
Data Works
Data works include BI portal, dashboards, workbooks, self-service data retrieval, ad hoc analysis, data dashboard, and data filling.
After you select Can Be Made Public and Can Be Authorized for the Data Works parameter in the Authorization Settings section of the Collaborative Authorization Settings tab on the Collaborative Authorization Configuration page, the Works to Be Made Public and Works Allowed to Be Authorized options appear for the Allow parameter for each workspace.
You can determine whether to select Works to Be Made Public or Works Allowed to Be Authorized in a workspace based on your business requirements. For more information, see Create and manage workspaces.
If you clear Can Be Published and Can Be Authorized, the Works Can Be Published and Works Can Be Authorized options are not included in the Functionality Permissions section of the workspace.
In this case, resources of all workspaces in the organization cannot be made public or shared, and collaborative authorization permissions on these resources cannot be granted.
Dataset
Authorizable: the collaborative authorization for datasets in all spaces.
Row and column permissions can be granted: all row-level and column-level permissions in all spaces, including datasets.
Data source
Authorized: the collaboration permissions on data sources in all workspaces.
Default Authorization Duration
You can specify one day, three days, one week, one month, or a custom duration.
Specify default permissions on workspace resources
This switch is used to set the default permissions for data works, datasets, and data sources in a workspace when you create a workspace.
Data works include BI portal, dashboards, workbooks, self-service data retrieval, ad hoc analysis, data dashboard, and data filling.
The following table describes the permissions that are available for different types of data works.
Resource type | Permission types
Data work | View and export data works | Edit data works |
Datasets | Edit Permission on Datasets | Use Permission on Datasets |
Data Source | Edit Permission on Data Sources | Use Permission on Data Sources |
You can configure default values for permissions on different types of data works.
The settings affect only the data works of the newly created workspaces. The permissions on the data works in the existing workspaces are not affected.
View and Export Data Works: All Workspace Members and Report Owner Only are supported.
The value of View and Export Permissions on Data Works is used to control whether the Works Viewed by Everyone in Authorized Workspace option is selected by default when you create a workspace.
If you set this parameter to All Workspace Members, Works Viewed by Everyone in Authorized Workspace is selected by default.
If you set this parameter to Report Owner Only, Works Viewed by Everyone in Authorized Workspace is not selected by default.
If you set View and Export Permissions on Data Works to All Workspace Members, all workspace members can view and export the data works in the workspace.
If you do not select Report Owner Only, unauthorized users cannot view reports in the workspace.
Edit Data Works: The default values are Grant to All Workspace Members (Only Members with the Edit Permission on Data Works) and Privacy.
The value of Edit Permission on Data Works is used to determine the default value of Editing Permission in the Collaborative Authorization panel for the data works that are created in the workspace.
If you select All Workspace Members (Only Members with Data Works Editing Permissions), the report in the workspace can be edited by members who have the data works editing permission by default.
If you select Private, unauthorized members cannot edit reports in the workspace.
For more information about how to grant the permissions to edit a report, see Grant the permissions to edit a report.
Dataset Edit: If you select this option, you can select All Workspace Members (Only Members with Dataset Edit Permissions) and Private.
The value of Edit Permission on Datasets is used to determine the default value of Editing Permission in the Collaborative Authorization panel for the datasets that are created in the workspace.
If you set Edit Permission on Datasets to Private, Private is selected for Editing Permission by default. This indicates that unauthorized users cannot edit the datasets.
The default value is All Workspace Members (Only Members with Dataset Editing Permissions). By default, All Workspace Members (Only Members with Dataset Editing Permissions) is selected. This indicates that all members in the workspace who have the dataset editing permission can edit the dataset.
If you select All Workspace Members (Only Members with Dataset Editing Permissions), the dataset in the workspace can be edited by all members who have the dataset editing permission by default.
If you select Private, unauthorized members of the dataset in the workspace cannot be edited.
If you want to grant the edit permission on datasets, modify the edit permission attribute and grant the permission. For more information, see Grant a user the permissions to edit a specified dataset.
Dataset Usage: If you select this option, you can select All Workspace Members (Only Members with Dataset Usage Permissions) or Specified Members.
The value of Use Permission on Datasets is used to determine the default value of Use Permission in the Collaborative Authorization panel for the datasets that are created in the workspace.
If you set Use Permission on Datasets to Specified Members, Specified Members is selected for Use Permission by default. This indicates that only specified users can use the datasets.
By default, this parameter is set to All Workspace Members (Only members who have the permission to use the dataset). All workspace members are selected by default. This indicates that all workspace members who have the permission to use the dataset can use the dataset.
If you select All Workspace Members (Only Members with Dataset Usage Permissions), the dataset in the workspace can be used by Members with Dataset Usage Permissions.
Data works include ad hoc queries, dashboards, and workbooks.
If you set Use Permission on Datasets to Specified Members, unauthorized users cannot use the datasets in the workspace by default.
